02 What data we process
From clients
- Name and contact details
- Company information
- Campaign information
- Invoice details
From prospects
- Business contact details such as name, email address, role and company
- Interactions with campaigns such as opens and replies
Of people in a lead file we deliver
- Business contact details such as name, role, business email address and company
- Public company details such as website, location, industry and size
- Optionally a public business phone number or a link to a public business profile
- The source where we found the data point and the date on which we checked it
Use of systems
- Campaign performance
- Activity and statistics
03 Where the data comes from
We do not collect the data of prospects and leads from the data subject themselves. That is why we record per record where a data point came from and when it was checked, so that we can answer that question if somebody asks it.
Sources we use
- Public company websites, including contact, team and about pages
- Public business profiles and company directories
- Data supplied by a client themselves
- Our own derivation and verification, for example checking whether a business email address exists
What we do not do
- We do not collect private addresses, private phone numbers or personal email addresses
- We do not resell data from the Dutch Chamber of Commerce register and do not use that register as a source for the lead files we deliver
- We do not process special categories of personal data
- We do not collect data that is only available behind a login or a paywall
04 Why we do this
We use data to:
- Run campaigns
- Generate leads
- Compiling, verifying and delivering lead files to clients
- Schedule meetings
- Measure and improve results
- Handle communication
05 Legal basis
We process data on the basis of:
- Performance of a contract, for the data of our clients
- Legitimate interest, article 6(1)(f) GDPR, for approaching business contacts and for compiling and delivering business lead files. We have made that assessment and can explain it on request
- Consent, where this is legally required
- A legal obligation, for example for our bookkeeping
Because we do not collect the data from the data subject themselves, the duty to inform under article 14 GDPR applies. This statement is how we meet that duty: it describes who we are, what we process, where the data comes from, who we share it with and what rights you have.
06 Retention periods
- Campaign data: as long as needed for delivery
- Lead data: a maximum of 24 months after collection, after which we delete the record or check it again
- Block list: indefinitely, because that is the only way we can guarantee an objection keeps working. That list holds no more than is needed to recognise an address
- Client data: for as long as the collaboration runs
- Invoices: 7 years in accordance with legal obligation
07 Sharing with third parties
We work with external tools for email sending, CRM and analytics. Data is only shared when necessary to deliver the service.
08 Lead files we deliver
Besides running campaigns we deliver standalone lead files to clients. That is a disclosure of business contact details to a recipient who then decides themselves what to do with it.
What that means
- From the moment of delivery the receiving client becomes an independent data controller for the data in that file. We are not their processor and they are not ours.
- With every record we include the source and the check date, so the client can demonstrate where a data point came from.
- Our terms and conditions state that the client uses the data solely to approach the company concerned in a business capacity, within the laws that apply to the recipient (such as CAN-SPAM in the US, PECR and UK GDPR in the UK, and the GDPR in the EU), and that they handle objections themselves and do not resell the data.
- The categories of recipients are business clients in Europe, the United States and the United Kingdom who approach business contacts themselves. If you ask us to whom a data point about you has been disclosed, we will tell you.
What we do not deliver
- Addresses of people who have previously objected to us. Those are on a block list that works across all our campaigns and all deliveries and is therefore also filtered out of new files.
- Data of consumers or of people in their private capacity.
09 Security
We take appropriate technical and organizational measures to protect data:
- Secured systems and connections
- Limited access on a need-to-know basis
- Active monitoring
10 Your rights
You have the right to:
- Request access to your data
- Have data corrected or deleted
Cookies
Our website places functional cookies that are needed for the site to work, for example to remember your language choice. No consent is required for these.
We also use Google Analytics to measure how the site is used and the Meta Pixel to review the effect of our advertising.
You can refuse or delete these cookies via your browser settings. You can also block Google Analytics using Google's browser add-on.
Send an email to info@link2leads.nl
For direct marketing the right to object is absolute, article 21(2) and (3) GDPR. If you object, we stop processing for that purpose immediately and without weighing it up, and your address goes on a block list that works across all our campaigns and deliveries. That means your address will not end up in a later file either.
You can send a request to info@link2leads.nl. We respond within one working day and settle it in full within one month at the latest. You can also always file a complaint with the Dutch Data Protection Authority.
11 Changes
This policy may be amended. The most current version is always on our website.
